Position Objective:
The Shelter Coordinator will oversee the day-to-day operations of Thrive Survivor Support Center’s shelter, ensuring a safe, supportive, and trauma-informed environment for individuals and families experiencing domestic and sexual violence. This role is responsible for managing intake processes, coordinating shelter services, supporting shelter guest’s immediate and long-term needs, and maintaining compliance with organizational policies and grant requirements. The Shelter Coordinator will also collaborate with community partners, provide leadership to shelter staff and volunteers, and facilitate access to resources, advocacy, and housing options to empower survivors toward stability and independence.
Responsibilities:
- Provides services to victims of domestic and sexual violence.
- Maintain participant confidentiality at all times.
- Ensures that all participant information is documented in the agency data tracking system in timely manner and is accurate and correct.
- The Shelter Coordinator will be the primary staff member responsible for completing Day 1 and Day 2 intake paperwork with shelter guests and maintaining files in accordance with agency and grant provider standards. The Shelter Coordinator will collaborate with the Client Services Manager to delegate coverage for intake responsibilities as needed.
- Entering all information into agency data tracking system, within seventy-two hours of intake or by the last date of the month whichever comes first.
- Ensure all forms needing signatures are required by grant providers are signed and dated for every participant seeking services.
- Ensure that safety plans are completed for every participant seeking services and updated as grant providers require.
- Ensure all services plans are completed on all participants as grant providers require.
- Ensure all appropriate referrals made to participants are documented in file and are followed up for satisfaction of services.
- Responsible for Case Management of shelter participants (see addendum).
- Reviews and monitors cases.
- Participates in multi-disciplinary meetings to work within community bridging gaps in service.
- Accompanies survivors to court, meetings with legal aids, social workers, law enforcement or any other organization or person requested by survivor.
- Provides community education and professional trainings as requested.
- Relates effectively and productively within the community.
- Participates in community awareness events.
- Ensure referral sources are up to date.
- Adheres to Thrive Policy and Procedures.
- Participates in all monitoring of programs by outside agencies.
- Submits all grant reports assigned on or before due date set by provider.
- Work directly with participant as needed to assure their needs are being met.
- Performs all duties assigned.
Shelter Coordination of Participants:
- Conduct emergency intervention, attends court hearings for supervision purposes or as required.
- Oversees group and individual counseling as needed.
- Reviews and monitors all cases of participants seeking services.
- Meet with the participant within their first 72 hours of staying in shelter to schedule their initial housing meeting for the following week.
- Review intakes, referrals, activities and case notes on all new participant services during month of intake and on departure.
- Ensure staff complete quality assurance reviews of all participant files for case management purposes.
- Attend trainings and workshops so as to meet the required 6 hours of training yearly. .
- Ensures all reports are submitted in a timely manner.
- Monitor direct service shelter program goals and objectives.
- Performs other duties as assigned.
Facilities:
- Ensures that all maintenance/repairs are reported to the Client Services Manager or Program Director and completed in timely manner.
- Ensure environment is free of hazards for all participants by conducting weekly walk through of shelter.
- Ensure all participants’ basic needs are met. This includes food, personal hygiene items, linens, personal items.
- Clean facility as needed for the health and safety of participants and staff.
- Set appropriate alarms and keep doors locked and confidential files are transferred to administrative office.
- Supervises facility maintenance.
Training:
- Attends all workshops and trainings as requested and approved by Program Director.
- Ensures that all yearly training requirements are met.
- Ensures all training hours are documented in the agency data tracking system.
- Ensures all certificate copies are forward to Client Services Manager and Program Director to be filed.
Language Skills:
Ability to read and understand policies, procedures, and documentation. Ability to respond to common inquiries or complaints from participants, management, and staff. Ability to effectively present and communicate information to participants, management, and staff.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to deal with several abstract and concrete variables. Able to anticipate needs and/or problems based on current events and/or situations and to develop solutions.
Qualifications:
College degree in sociology, psychology, social work, or related human services field desired but not required. Similar work experience is accepted. Excellent verbal and written communication skills as well as editing, writing, typing, computer, communications and organizational skills. Knowledge of (or willingness to learn about) and sensitivity to issues of domestic and sexual violence.
